Data collected from all website visitors:

Data collected from customers using QwikFone’s buyback services:

- Shipping & Tracking Information: Delivery addresses, tracking details, and communications relating to the shipment and receipt of traded-in devices.
Data collected from refurbished phone customers:
- Identity & Contact Data: Name, shipping/billing address, email, phone number.

- Note: Payment processing is routed natively through Shopify Payments or authorised third-party payment gateways. Your credit/debit card data is fully encrypted and tokenised via Shopify’s secure, PCI-DSS-compliant systems. QwikFone does not store or have direct access to your raw payment card numbers on our servers.
- Purchase History: Records of products bought.
- Account Credentials: Usernames and securely encrypted passwords used to register, access, and manage your private QwikFone customer account.
Data collected from wholesale clients in the UK:
- Business Contact Information: Business name, contact person's name, business address, email, phone number.
- Tax/VAT Identification Number.
- Transaction History and credit terms.
We do not collect sensitive personal data (such as information relating to race, religion, ethnicity, sexual orientation, or biometric data) unless you explicitly consent to this.

Our website and digital storefront infrastructure are powered by Shopify. When you visit our platform, register an account, or complete a transaction (including retail orders or device buybacks), your personal data is collected and processed through Shopify’s secure, global e-commerce infrastructure.
Shopify acts as our primary data processor and handles key functions on our behalf, including secure web hosting, platform analytics, order and buyback tracking, transaction management, and automated fraud screening. All data processed by Shopify is handled in accordance with strict security standards and Shopify's own privacy commitments.
6. How We Share Your Data
Service Providers: We share data with necessary partners who act on our instructions (e.g., payment processors, shipping carriers like Royal Mail, website hosting providers, and email marketing platforms).
Legal Requirements & Fraud Prevention: We may disclose your personal data if required by law to comply with a legal process, protect the rights and safety of QwikFone and others, or coordinate with law enforcement authorities and legal professionals. Additionally, we share device identifiers (such as IMEI or serial numbers) and associated seller identity data with national property registration databases (such as CheckMEND) to verify that devices submitted for buyback have not been reported lost, blocked, or stolen.

Third-party websites and advertising services may apply their own privacy policies to data collected through advertisements or links displayed on the QwikFone website. General Retention Period For retail customers, buyback sellers, and wholesale clients, we are legally required to retain basic contact, identity, and transaction records for 6 years after your last transaction with us, in line with UK tax compliance and HMRC auditing requirements.

- Retail, wholesale, and buyback transaction histories
- Financial transaction records
Buyback Diagnostic Records Technical records, diagnostic results, and device serial numbers gathered during our buyback inspection process are retained for up to 6 years to meet consumer contract record-keeping obligations and comply with UK second-hand goods trader regulations.
Marketing Data Retained until you withdraw consent or opt out.

By choosing Klarna or PayPal Credit as your payment method during retail checkout, QwikFone will securely pass your contact details and order information to those platforms. This data sharing is required so they can assess your eligibility for their consumer financing options and tailored payment terms. All transferred data is handled strictly in accordance with their respective privacy policies.
Automated Decision-Making and AI
We may use automated processing to detect and prevent fraud on our platform or to assess financial eligibility via our integrated credit partners, Klarna and PayPal Credit. You retain the legal right to challenge an automated decision that carries significant legal weight against you and request that a member of our team review the decision manually.
- Please note: Automated financing profiling and credit eligibility checks are strictly limited to retail buyers at checkout and do not apply to individuals using our Buyback program.

Access to users’ data is limited to authorised QwikFone employees, contractors, and service providers who require access in order to perform their responsibilities under QwikFone’s control and confidentiality obligations.
